By Light is seeking a Front Desk Receptionist to join our team in Chantilly, VA. Responsibilities include greeting, answering phones, processing expenses and scheduling.  We are looking for an individual with strong communication and customer service skills.

Front Desk Duties:

• Signing visitors in and out.
• Sending invites to upcoming visitors for easier sign-in process 
• Escorting visitors, especially non-us citizens to the appropriate employee or department.
• Answering front/back door/loading dock doorbells
• Answering incoming calls and routing them to the correct staff member.
• Booking conference rooms for meetings/ordering breakfast refreshments/catering when needed.
• Ordering snacks, drinks, and office supplies about three days a week (Staples, Walmart, Amazon)
• Ensuring all snacks/drinks are stocked twice daily or as needed. 
• Serving as the point of contact for building maintenance (roofers, plumbing, HVAC, etc.).
• Setup new hire workstation (create name plate and provide password to wifi)/ update employee directory/ introduce to Veraxx staff.
• Completing/submitting expense reports for approximately eight employees (PMs and VPs).
• Provide guidance to employees on expense report preparation and submission as needed.
• Managing the Outlook calendar for PTO and travel.
• Gathering monthly sales tax information and submitting it to Accounting before the 20th of each month.
• Receiving packing slips in Costpoint ensuring it matches the invoice or credit card POs.
• Documenting/Scanning/Filing

Shipping and Receiving Duties:

• Assisting the shipping/receiving department with:
• Receiving/ Signing off for packages.
• Matching materials with packing lists
• Documenting materials into project folders (Master and PRF).
• Receiving packing lists from two additional offices and inputting in Costpoint insuring it matches the invoice or credit card POs.
• Creating shipping labels (for other offices as well), and occasional packaging of items (only Chantilly)
• Assist in packing lists for outgoing shipments.
• Documenting in the FedEx log for all outgoing shipments with correct charge codes.
• Serve as back up when shipping and receiving staff is out of office.
